ii. Divot Assets Inc., for SNS Inventory Software and Services (Not to Exceed $91,685)

Request: It is requested that the DeKalb County Board of Education approve the agreement between DeKalb County School District (School Nutrition Services) and Divot Assets Inc., not to exceed the amount of $91,685. If approved by the Board, the vendor will provide inventory software and services, which include performing physical inventory at all 125 School Nutrition Sites. The proposed agreement term is from June 1, 2026, through May 31, 2027.
Why: This agreement ensures that the DeKalb County School District School Nutrition Services (SNS) Department has access to a fully integrated asset inventory and management solution that provides accurate asset tracking, improved accountability, and reliable reporting. Divot Assets offers a comprehensive end-to-end process that includes physical inventory services, asset tagging, data reconciliation, and asset management software specifically designed for K-12 school districts. Their system ensures seamless integration among asset tags, inventory processes, maintenance services, life-cycle tracking, and software reporting, allowing the district to maintain accurate records and strengthen financial and operational oversight of district assets.
Details: SNS is committed to improving the accuracy, accountability, and management of its equipment and technology assets across all 125 sites. This agreement will allow the department to conduct a detailed physical inventory, export and clean existing asset data, reconcile discrepancies between records and actual equipment, and update the district’s master asset list.
Divot Assets provides the specialized capability to perform on-site inventory verification, manufacture compatible asset tags, normalize asset data, and import reconciled information into a validated system that supports ongoing inventory management. This process will improve record accuracy, strengthen compliance with district asset management requirements, and support more efficient tracking and reporting of School Nutrition Services equipment and technology resources.

Independent Contract Agreement (ICA) between Divot Assets Inc.
Scope: ICA Approval Request with Divot Assets Inc., for SNS

This contract is from June 1, 2026, through May 31, 2027.
Selection Process:
School Nutrition Services (SNS) reached out to multiple vendors to identify
providers that could support inventory services for the district. As part of
this process, SNS contacted two additional vendors that offer similar
services.
During these discussions, SNS evaluated each vendor’s ability to meet the
needs of the district. While the vendors were able to provide general
inventory support, neither was able to conduct physical, on-site inventory
counts across multiple locations.
Due to the size of DeKalb County School District, which includes
approximately 125 school sites, on-site inventory counts are necessary to
ensure accuracy and consistency. SNS does not currently have the staffing
capacity to complete these initial counts internally across all locations.
Divot Assets, Inc. was the only vendor contacted that could provide on-site
inventory services at the scale required to support the district.
Based on this review, Divot Assets, Inc. was selected as the best vendor to
meet the district’s needs.
