Request: It is requested that the DeKalb County Board of Education approve the purchase of instructional technology equipment relocation, reinstallation, classroom display systems, and related installation, configuration, warranty, and deployment services with Virtucom for Ashford Park Elementary School, Champion Middle School, Idlewood Elementary School, International Student Center, Murphey Candler Elementary School, and the Park Lake Administrative Building, at a cost not to exceed $147,963.37 AMENDED $139,113.67.
Why: The Division of Information and Instructional Technology (DIIT) seeks approval to procure instructional technology services and equipment from Virtucom to support summer renovation activities, instructional continuity, and classroom readiness across multiple facilities. The Virtucom scope includes deinstallation, relocation, storage, and reinstallation of existing ViewSonic interactive flat panel displays (IFPDs), as well as the procurement of new interactive display systems and associated computing components.
These services ensure that existing instructional technology assets are safely removed, properly stored, and reinstalled following construction and HVAC improvements, while also supporting the deployment of new classroom display technology where required. This approach maximizes the use of existing district assets while maintaining consistent instructional technology standards and minimizing disruption to teaching and learning environments.
Details: The scope of work includes districtwide instructional technology equipment relocation, reinstallation, and new display system deployment to support summer renovation, HVAC upgrades, and facility improvement projects across multiple schools and administrative locations. These efforts ensure continuity of instruction, preservation of existing technology assets, and readiness of instructional and operational environments for the upcoming school year.
Instructional Technology Relocation & Reinstallation = $71,410
Virtucom will provide deinstallation, inventory, packaging, transportation, secure storage, and reinstallation of existing ViewSonic 75" interactive flat panel display systems located in instructional spaces. Services include the coordinated relocation of devices from classrooms and temporary learning environments, storage during construction and HVAC activities, and full reinstallation, remounting, and testing following project completion. This work ensures that all instructional technology is properly managed, protected, and restored to full operational functionality with minimal disruption to teaching and learning.
Administrative & Training Display Systems (New Equipment Deployment) = $57,253.80
In addition to relocation services, Virtucom will provide and install new interactive display systems to support administrative operations and staff training environments. This includes the deployment of ViewSonic interactive flat panel displays, integrated computing modules, device management licensing, and associated accessories, along with installation, configuration, and training services. These systems provide standardized, modern technology to enhance collaboration, communication, and operational efficiency within administrative spaces.
Contingency = $19,299.57
A contingency amount of 15% above quoted costs is included to address unforeseen conditions related to equipment handling, storage logistics, reinstallation activities, and installation requirements, ensuring timely project completion and minimizing the need for additional approvals.

Chronology-Instructional Technology Equipment Relocation, Reinstallation, and
Classroom Display Systems (Virtucom)
The Division of Information and Instructional Technology (DIIT) identified the need for
instructional technology equipment relocation, reinstallation, and classroom display system
support to maintain instructional continuity and technology readiness during summer renovation
and facility improvement projects at Ashford Park Elementary School, Champion Middle School,
Idlewood Elementary School, International Student Center, Murphey Candler Elementary
School, and the Park Lake Administrative Building. These needs were validated through
planning activities associated with construction schedules, HVAC upgrades, classroom
readiness requirements, and coordination with school leadership and instructional technology
staff.
Following the planning phase, DIIT worked with Virtucom to develop a scope of services and
equipment aligned with district specifications and approved cooperative purchasing agreements.
The proposed procurement includes deinstallation, relocation, storage, and reinstallation of
existing interactive flat panel display systems, as well as the deployment of new display systems
to support administrative and training environments.
Key Services Include:
Instructional Technology Relocation & Reinstallation (Multiple Schools)= $71,410.00
Virtucom will provide deinstallation, relocation, storage, and reinstallation services for existing
instructional display systems to support renovation and HVAC improvement activities, including:
● Champion Middle School
○ Deinstallation of twenty-four (24) ViewSonic 75" interactive flat panel displays
from mobile classrooms
○ Reinstallation of displays on permanent classroom walls following renovations
○ Internal relocation of four (4) additional panels to support updated instructional
layouts
● Murphey Candler Elementary School
○ Deinstallation, packaging, and transport of twenty-three (23) interactive flat panel
displays, including wall-mounted and mobile units
○ Temporary storage of equipment during renovation activities
○ Reinstallation of sixteen (16) displays in classroom environments following
project completion
● Ashford Park Elementary School
○ Deinstallation of twenty-seven (27) classroom interactive flat panel displays
○ Inventory, packaging, and secure storage during construction activities
○ Reinstallation of all devices at project completion to restore instructional
readiness
● Idlewood Elementary School
○ Deinstallation of eighteen (18) interactive flat panel displays
○ Inventory, packaging, and transport to secure warehouse storage
○ Return and reinstallation of all devices following completion of renovation work
● International Student Center
○ Deinstallation of fifteen (15) wall-mounted interactive flat panel displays and
mounting hardware
○ Inventory, packaging, and storage during HVAC system upgrades
○ Reinstallation, testing, and validation of all systems upon completion of
construction

Administrative & Training Environment Display Systems (Park Lake)= $57,253.80
Virtucom will provide new instructional display systems and associated components to support
administrative operations and staff training environments at the Park Lake Administrative
Building, including:
● Provision of fifteen (15) ViewSonic 75" interactive flat panel displays
● Installation, configuration, and mounting of all display systems, including mounting
hardware and required cabling
● Deployment of slot-in PC computing modules with Intel processors, memory, storage,
and operating system to support display functionality
● Implementation of ViewSonic Advanced Manager Console licensing and wireless
connectivity modules for centralized device management
● Provision of training, support services, and five-year warranty to ensure long-term
system performance and usability
These services enhance administrative functionality and provide modern, standardized
technology to support collaboration, training, and operational efficiency.
Contingency = $19,299.57

associated with equipment handling, storage logistics, reinstallation activities, and installation
requirements, and to ensure timely project completion.
Through coordination with district leadership and instructional technology staff, the scope was
defined to support the safe handling, redeployment, and enhancement of instructional
technology systems while maintaining alignment with district instructional technology standards.
Procurement
Pursuant to Board of Education Purchasing Policy DJE III.D.3.d, this agenda item includes
purchases of services and equipment through approved inter-governmental and educational
cooperative purchasing agreements. Therefore, Virtucom will utilize The Interlocal Purchasing
System (TIPS) cooperative purchasing contract 240101.
