g. Managed Print Services and Multi-Function Print Device Renewal with Lexmark (Not to Exceed $1,773,849.84)

Request: It is requested that the DeKalb County Board of Education approve the renewal of managed print services and multi-function print device support with Lexmark International for an amount not to exceed $1,773,849.84. This represents year three of a five-year agreement.
Why: This agenda item supports the continued operation, maintenance, and optimization of the district’s managed print services environment, ensuring reliable access to standardized, secure, and efficient multi-function printing devices across all schools and centers.
Details: Managed Print Services (MPS) is a comprehensive, district-wide program that provides centralized management, maintenance, and supplies for multi-function printing devices. During the 2024-25 school year, the District completed a full refresh of its copier fleet through RFQ 24-002, replacing devices that were at or beyond end-of-life.
The scope of this program included replacing the District’s existing multi-function printing devices in all schools and centers and establishing ongoing maintenance and support services under a single, standardized environment. Lexmark has delivered equipment and services in accordance with the approved scope of work, requirements, and contractual terms and conditions.
Continuation of this agreement ensures stability of operations, protects the District’s recent investment in new equipment, and sustains a modern, secure, and efficient print environment aligned to the District’s broader technology infrastructure modernization efforts.

• Lexmark Translation Assistant is included. Translation Assistant uses translation software instantly putting critical school
communications into parents’ native languages, eliminating a language barrier and including them in their students’
learning.
• Any new devices required as part of a planned refresh or for new placements will be purchased separately. The monthly
support fees for new devices would be added to the contract at that time.
