Chronology- Student Information System and Campus Analytics Renewal

DeKalb County School District implemented Infinite Campus as its districtwide Student
Information System (SIS) during the 2014-15 school year following a competitive procurement
(RFP 14-11) approved by the Board of Education on July 7, 2014. Since implementation, Infinite
Campus has served as a core enterprise platform supporting student enrollment, registration,
scheduling, attendance, grading, transcripts, state and federal reporting, and districtwide data
integrity.

The system is fully integrated with instructional, operational, and reporting processes across
schools and central office departments. Program areas supported include Counseling, Career
and Technical Education (CTAE), English Learners (EL/ESOL), Special Education, Pre-K,
School Choice, Student Services, and Research and Accountability. Infinite Campus also
supports family engagement through the Campus Parent and Campus Student portals and the
Infinite Campus mobile application.

For the 2026-27 school year, the district will continue its use of Infinite Campus through an
annual renewal agreement to support approximately 90,265 students and maintain the core
Student Information System platform, including licensing, cloud hosting, and embedded system
modules. The renewal includes the Campus Analytics module, which provides reporting and
early indicator analysis using student data housed within the SIS to support district data
monitoring and decision-making efforts. This functionality is limited to analytics embedded within
the Student Information System environment and is distinct from enterprise data visualization or
business intelligence platforms.

Projected Growth Allowance (Contingency)= $7,500
The total cost of the renewal is based on projected student enrollment, licensing quantities,
document storage and repository utilization, and overall service usage at the time of quote
development. Actual costs may vary slightly due to fluctuations in student Full-Time Equivalent
(FTE) counts, additional licensing needs (such as user or viewer licenses), growth in document
storage associated with student records and attachments within the Student Information
System, and other operational adjustments identified during the fiscal year. To account for these
variables and ensure continuity of services without disruption, a nominal growth allowance is
included within the not-to-exceed amount. This approach minimizes the need for subsequent
adjustments while maintaining alignment with actual usage and district needs.


Approval of this renewal ensures uninterrupted access to the district’s established Student
Information System, including core platform functionality, embedded analytics, ongoing
maintenance, system updates, and compliance support. This action supports operational
continuity, regulatory compliance, and data-informed decision-making across the district.

Procurement:

In accordance with Board of Education Purchasing Policy DJE, this purchase qualifies as a
single-source renewal due to required system continuity, compatibility, and standardization.
Infinite Campus is the district’s established Student Information System and functions as a
critical enterprise platform supporting student records, scheduling, grading, attendance,
reporting, and integrations with state and district systems. Continued licensing, maintenance,
and related services can only be provided by the system owner or its authorised reseller.
Replacement of the system would require a full competitive procurement, extensive data
migration, staff retraining, and pose significant operational risk. Accordingly, this renewal meets
the policy definition of single source for the continuation of an existing enterprise system.

Prior year totals reflect combined services historically procured through K-12 Solutions Group,
which included both core Student Information System support and supplemental applications,
integrations, and analytics services. Beginning in FY2026-27, the district is separating the core
Infinite Campus Student Information System renewal from supplemental services.
