Request: It is requested that the DeKalb County Board of Education approve the contract Award for RFP 25-472 for the following Charter Bus Services:

Why: Approval of this contract will allow the DeKalb County School District (“DCSD”) to continue providing services that require travel outside of the 75-mile radius limitation of the DCSD Transportation Department for student activities and to ensure continued coverage for student transportation service.
Details: A Request for Proposals (RFP) was issued on October 10, 2024. Eleven (11) proposals were received and were reviewed by the District’s Purchasing Department. Eleven (11) firms were deemed responsive and evaluated by the selection committee. All eleven (11) were selected, and this recommendation is based on the evaluations.

Charter Bus Services
Scope:
Approval of Contract Award for RFP 25-472- Charter Bus Services- Provide
transportation services that require travel outside of the 75-mile radius
limitation of the DCSD Transportation Department for student activities and
to ensure continued coverage for student transportation service as specified
in the Request for Proposal documents.
Contract/Renewal Term:
The Request for Proposal and contract provide for an initial one (1) year
contract with four (4), one (1) year renewal options subject to Board
approval on a year-to-year basis.
Solicitation Process
A Request for Proposals (RFP) was issued on October 10, 2024. Electronic
notification of the RFP was sent via email to 29 vendors from the DeKalb
County School District (“DCSD”) Vendor Bid List, 424 vendors through the
State of GA Procurement Registry, and 104 vendors through IonWave. On
October 10, and October 17, 2024, the solicitation was advertised in the
Champion Newspaper. A mandatory pre-proposal conference was held on
October 24, 2024; nine (9) representatives were in attendance representing
eleven (11) companies. Eleven (11) proposals were received and reviewed by
the District’s Purchasing Department. Eleven (11) were deemed responsive to
the requirements of the solicitation. This recommendation is based on the
evaluation.
Award Process:
This request is to authorize Dekalb County School District (DCSD) to contract with
the following companies for Charter Bus Services, individually, as selected by the
local school, as needed:
