i. ITB No. 22-541 Contract Extension and Approval for Liquid Propane Gas Delivery Service for Ferrellgas Primary ~ 2nd of 4 One-Year Contract Extensions (Not to exceed $2,000,000)

Request: It is requested that the Board of Education approve the contract extension of ITB No. 22-541 for Liquid Propane Gas Delivery Service for the 2nd of 4 one (1)-year extension to Ferrellgas in the amount not to exceed $2,000,000 per year.
Why: This request is the first of four extensions for Ferrellgas to provide bulk fuel and delivery service as needed for the DeKalb County School District’s Transportation Department. This request is 2 of 4 one-year extensions. The terms of the initial agreements with the vendors are July 1, 2024, through June 30, 2025.
Details: On June 16, 2022, the Purchasing Department formally processed Bid No. 22-541 Liquid Propane Gas Delivery Service and Ferrellgas was selected as the Primary vendor, and AmeriGas Propane LP was selected as the Secondary vendor. This bid is the second extension of four one-year extensions through July 1, 2024, through June 30, 2025.
Financial impact: This purchase for an amount not to exceed $2,000,000.00 will be charged to the General Operations Energy fund code: 100.2700.562000.00011.7190.1320.8013.040.0000

Dear Mr. Raygor,
As a result of the excellent service provided by Ferrellgas, the DeKalb County School District (“DCSD”) desires to
renew the award of Bid No. 22-541, Liquid Propane Gas Delivery Service for one (1) year on the same terms,
conditions and pricing as stated in the bid. The purpose of this letter is to obtain Ferrellgas’ acceptance of DCSD’s
offer to renew the award of Bid No. 22-541.
The renewal is subject to the DeKalb County Board of Education’s (“Board”) approval and will be effective July 1,
2024, through June 30, 2025. Of course, we will notify you once the Board has approved the renewal. DCSD
appreciates Ferrellgas’ consideration of this offer to renew the award of Bid No. 22-541.
If accepted, please submit a copy of your company’s current proof of insurance reflecting the coverage(s) stated
within the original solicitation document, sign the acceptance below and email both documents to
lakesia_watkins@dekalbschoolsga.org no later than Wednesday, March 6, 2024. Insurance policy or policies must
be maintained throughout the term of this agreement. A copy of the insurance requirements is included.

ACKNOWLEDGMENT
Ferrellgas hereby accepts DeKalb County School District’s offer to renew the award of Bid No. 22-541, Liquid
Propane Gas Delivery Service, at the same prices, terms, and conditions as the original award, until June 30, 2025.
Ferrellgas understands this acceptance is subject to the approval of the DeKalb County Board of Education.
