c. Approval of Instructional Technology Devices and Installation Services for New Dresden Elementary School (Virtucom) (Not to exceed $367,731.88)

Request: It is requested that the DeKalb County Board of Education approve the purchase of instructional technology devices and related installation, configuration, warranty, and deployment services from Virtucom for New Dresden Elementary School, at a cost not to exceed $367,731.88.
Why: The Division of Information and Instructional Technology (DIIT) seeks approval to procure instructional support equipment and STEM learning resources from CDW-G to support the opening of New Dresden Elementary School. The CDW-G scope includes docking stations, surge protection devices, student Chromebooks and accessories, device charging solutions, and a comprehensive collection of STEM instructional equipment. These items equip classrooms, shared learning spaces, and instructional labs with district-standard technology and resources necessary to support daily instruction, hands-on learning, and effective device management.
Details: Virtucom will provide instructional technology devices and associated professional services aligned to district standards for classroom instruction and staff productivity.

Instructional Areas (Classrooms, Media Center, STEM) = $282,639

Virtucom will provide instructional display systems and related accessories to support classroom instruction and flexible learning environments. This scope includes ViewSonic 75-inch interactive flat panel displays with extended warranties, installation, configuration, training, and mounting hardware, as well as interactive flat panel track systems and mobile trolley stands. The deployment also includes mobile 86-inch interactive flat panel displays with carts for shared instructional use, classroom monitors with surge protection accessories, and desktop workstations with monitors for Media Center circulation and lookup functions. Collectively, these devices support digital instruction, collaboration, and consistent classroom presentation standards across instructional and shared learning spaces.

Administration & Teacher Equipment =$37,127.88

Virtucom will also provide staff and shared-space computing equipment to support instructional delivery and daily operations. This scope includes Dell Pro staff laptops with imaging, asset tagging, delivery, deployment, and multi-year warranty coverage with accidental damage protection, as well as charging carts to support secure device storage, charging, and effective device management for staff use

Contingency =$47,965

A contingency amount of 15% above quoted costs is included to manage unforeseen conditions associated with network installation in a new construction environment and to ensure timely project completion.

Chronology- Instructional Technology Devices and Installation Services New
Dresden Elementary School (Virtucom)

The Division of Information and Instructional Technology (DIIT) identified the need for
instructional technology devices and end-user equipment to support classroom instruction, staff
productivity, and shared learning spaces in preparation for the opening of New Dresden
Elementary School. These needs were validated through planning activities associated with new
school construction and district technology standards.

Following the planning phase, DIIT worked with Virtucom to develop a scope of instructional
devices and related services aligned to district specifications and approved cooperative
purchasing agreements. The proposed procurement includes classroom instructional displays,
mounting and mobility solutions, staff computing devices, classroom and shared-space
monitors, charging solutions, and print devices, all with associated installation, configuration,
delivery, and warranty services.

Virtucom will provide instructional display systems and accessories to support classroom
instruction and flexible learning environments, including:

      installation, configuration, training, and mounting hardware
   ●​ 76 interactive flat panel track systems (ESA-compliant)
   ●​ 2 mobile trolley stands for interactive displays
   ●​ 2 ViewSonic 86" mobile interactive flat panels with carts for flexible instructional use
   ●​ 120 Dell 27" classroom monitors with installation and three-year warranty
   ●​ 120 Chromebook charging towers
   ●​ Surge protection accessories for instructional devices
   ●​ 3 Dell Pro Micro desktop computers with monitors for circulation and lookup use
   ●​ Lexmark printers, including one color and one monochrome printer, with installation and
      extended onsite warranty
   ●​ Workstations and monitors for Media Center circulation and lookup functions

Virtucom will also provide staff and shared-space computing equipment to support instructional
delivery and daily operations, including:

   ●​ 30 Dell Pro 16 staff laptops with imaging, asset tagging, delivery, deployment, and
      three-year warranty with accidental damage protection
   ●​ 1 Bretford USB-C charging cart

Contingency =$47,965

A contingency amount of 15% above quoted costs is included to manage unforeseen conditions
associated with network installation in a new construction environment and to ensure timely
project completion.
Through coordination with district leadership and instructional technology staff, the scope was
defined to equip classrooms, shared learning spaces, and staff work areas with interactive
displays, computing devices, charging solutions, and print equipment that align with district
standards.

Procurement

In accordance with Board of Education Purchasing Policy DJE, this agenda item includes
purchases of services and equipment through competitively solicited Invitations to Bid (ITB) and
approved inter-governmental and educational cooperative purchasing agreements. Therefore,
Virtucom will be utilizing The Interlocal Purchasing System (TIPS) contracts 240101 and 230901
and ITB 25-599 for all purchases.
