iii. RFP 22-752-012 Landscaping and Lawn Maintenance Services Contract Extension Approval (Yellowstone Landscape SE, LLC), renewal year 2 of 4 (Not to exceed $3,000,000)

Request: It is requested that the Board of Education approve the contract extension for RFP 22-752-012 Landscaping and Lawn Maintenance Services with Yellowstone Landscape SE, LLC, for an additional year through May 20, 2025, for a not to exceed amount of $3,000,000.
Why: An extension of this contract will allow Dekalb County School District to provide Landscaping and Lawn Maintenance Services required for the district on a set schedule.
Details: On April 18, 2022, the Board of Education approved Yellowstone Landscape SE, LLC, as the most responsive and responsible bidder to provide landscaping and lawn maintenance services throughout the District, on a scheduled and as needed basis. This recommendation is for the second of four (4) one-year (1-year) contract renewal options. Yellowstone Landscape SE, LLC is located at 3235 N State Street, PO Box 849 Bunnell, FL 32110.
Financial impact: It is anticipated that the cost for these services will not exceed $3,000,000 during the fiscal year and will be allocated from the General Fund Budget, Deferred Maintenance.

Dear Mr. Tetrault:
As a result of the excellent service provided by Yellowstone Landscape, SE LLC, the DeKalb County School District
(“DCSD”) desires to renew the award of RFP 22-752-012 Landscaping and Lawn Maintenance Services for the same
terms, conditions and pricing as set forth in the License and Services Agreement between DCSD and Yellowstone
Landscape SE, LLC dated May 20, 2022. The purpose of this letter is to obtain Yellowstone Landscape SE, LLC’s
acceptance of DCSD’s offer to renew the License and Services Agreement.
The renewal is subject to the DeKalb County Board of Education’s (“Board”) approval and will be effective from
May 20, 2024 through May 21, 2025. Of course, we will notify you once the Board has approved the renewal. DCSD
appreciates Yellowstone Landscape SE, LLC’s consideration of this offer to renew the award of RFP 22-752-012.
If accepted, please submit a copy of your company’s proof of insurance reflecting the coverage(s) stated within the
original solicitation document, sign the acceptance below and email both documents no later than Monday, April
22, 2024, to Sharmaine_greenland@dekalbschoolsga.org. Insurance policy or policies must be maintained
throughout the term of this agreement. A copy of the insurance requirements is included.

ACKNOWLEDGMENT
Yellowstone Landscape SE, LLC hereby accepts DeKalb County School District’s offer to renew the award of RFP 22-
752-012, Landscaping and Lawn Maintenance Services, as set forth in the License and Services Agreement, until
May 21, 2025. Yellowstone Landscape SE, LLC understands that this acceptance is subject to the approval of the
DeKalb County Board of Education.
