Request: It is requested that the Board of Education ratify and approve the contract renewal for RFP No. 19-506 for the lease purchase of digital equipment for the DCSD copy center to Konica Minolta Business Solutions U.S.A., Inc. for an additional year in the amount not to exceed $103,687.60 for all maintenance and supplies excluding paper. This recommendation is for the fourth, and final, one-year (1-year) contract renewal option.
Why: This request is a contract extension for Konica Minolta Business Solutions U.S.A., Inc. for the lease purchase cost of the equipment. This request extends the agreement for an additional year through December 18, 2023.
Details: On September 10, 2018, the Board of Education approved Konica Minolta Business Solutions U.S.A, Inc. as the most responsive and responsible bidder to provide a lease purchase option for up-to-date digital equipment for the DCSD Copy Center along with a full-service comprehensive maintenance program. This recommendation is for the fourth of four (4) one-year (1-year) contract renewal options. Konica Minolta Business Solutions U.S.A., Inc. is located at 2727 Paces Ferry Road, Suite 1600, Atlanta, GA 303398.
Financial impact: The total budget for these services is allocated from the cost code 100.2800.561000.00011.7620.9990.8010.040.0000 under the Operations’ Division General Fund Budget in the amount not-to-exceed $103,687.60.

       Dear Mr. Herbes:
       As a result of the excellent service provided by Konica Minolta Business Solutions USA, Inc., the DeKalb County
       School District (“DCSD”) desires to renew the award of RFP 19-506, Lease Purchase of Digital Printing Equipment
       for Copy Center for one (1) year on the same terms, conditions and pricing as set forth in the License and Services
       Agreement between DCSD and Lease Purchase of Digital Printing Equipment USA, Inc. dated December 19, 2018.
       The purpose of this letter is to obtain Konica Minolta Business Solutions USA, Inc.’s acceptance of DCSD’s offer to
       renew the License and Services Agreement.
       The renewal is subject to the DeKalb County Board of Education’s (“Board”) approval and will be effective from
       December 19, 2022 through December 18, 2023. Of course, we will notify you once the Board has approved the
       renewal. DCSD appreciates Konica Minolta Business Solutions USA, Inc.’s consideration of this offer to renew the
       award of RFP 19-506.
       If accepted, please submit a copy of your company’s proof of insurance reflecting the coverage(s) stated within the
       original solicitation document, sign the acceptance below and email both documents to phyllis
       _d_jones@dekalbschoolsga.org no later than Tuesday, June 14, 2022. Insurance policy or policies must be
       maintained throughout the term of this agreement. A copy of the insurance requirements is included. Feel free to
       also fax the acceptance and your proof of insurance to Ms. Jones at 678-676-0170.

       Konica Minolta Business Solutions USA, Inc. hereby accepts DeKalb County School District’s offer to renew the
       award of RFP 19-506, Lease Purchase of Digital Printing Equipment for Copy Center, as set forth in the License and
       Services Agreement, until December 28, 2023. Konica Minolta Business Solutions USA, Inc. understands that this
       acceptance is subject to the approval of the DeKalb County Board of Education.
